In ADempiere’s term, a Business Partner is an entity to do business with. This is a flexible approach compared to traditional <a class="zem_slink" title="Accounting software" href="http://en.wikipedia.org/wiki/Accounting_software" rel="wikipedia">accounting system</a>, since Business Partner can be Vendors, Customers, and Employees.</p>
<h2>The Business Partner Setup Workflow</h2>
<p>Setting up Business Partner is easy. You need to go to the Business Partner Workflow which tells you all you have to do for setting up Business Partners. Click the menu – to go to the workflow.</p>

<h2>The Business Partner Data</h2>
<p>On that window mostly we are going to click <strong>Business Partner</strong> box to maintain Business Partner data: add new, edit, or delete.</p>

<p>To add a new Business Partner, click on the New icon on the toolbar. Then fill in the mandatory field (Name) and other field that you think important to your business. Click on the Save icon on the toolbar when you are done adding new Business Partner.</p>
<h2>Customer</h2>
<p>If the Business Partner is a customer, then click on the Customer Tab on the left to show the detailed Customer data:</p>

<p>Check the Customer checkbox to identify that this Business Partner is a customer. Then, fill up appropriate data for this Customer like the Invoice Rule, Invoice Schedule, Price List, etc. Click on the Save button when you are done. Click on the Customer Accounting if you need to adjust the accounting aspect for this customer.</p>
<h2>Vendor</h2>
<p>If the Business Partner is also a vendor, then click on the Vendor Tab on the left to show the detailed Vendor data:</p>

<p>Check the Vendor checkbox to identify that this Business Partner is a vendor. Then, fill up appropriate data for this Vendor like the Payment Rule, PO Payment Term, Purchase Pricelist, etc. Click on the Save button when you are done. Additionally, click on the Vendor Accounting if you need to adjust the accounting aspect for this vendor.</p>
<h2>Employee</h2>
<p>If this Business Partner is an Employee, then click on the Employee tab on the left to show the detailed Employee data. Check the Employee checkbox to identify that this Business Partner is an employee. Click on the Save button when you are done. Additionally, click on the Employee Accounting if you need to adjust the accounting aspect for this employee.</p>
<h2>Bank Accounts</h2>
<p>Next, you need to enter the Business Partner Bank Account, click on the Bank Account tab on the left to show the detailed Bank Account data. Then click the New Record icon on the toolbar.</p>

<p>Check on the Active checkbox to indentify that this <a class="zem_slink" title="Bank account" href="http://en.wikipedia.org/wiki/Bank_account" rel="wikipedia">bank account</a> is active.</p>
<p>Type the Account holder Name, Account Street, City, etc on the bank account’s Reference section.</p>
<p>Check on the <a class="zem_slink" title="Automated Clearing House" href="http://en.wikipedia.org/wiki/Automated_Clearing_House" rel="wikipedia">ACH</a> checkbox to identify that this bank account accepts Automatic Clearing House (ACH) transaction. To add a new Bank data, right-click on the Bank field, then click Zoom menu.</p>

<p>Then a new window will appear. Click on the New Record icon to add a new Bank name.</p>

<p>On that window, fill up the Bank Name and the Routing Number. To enter the Bank’s address, click on the icon right to the Address field, then add the addresses information. Click Ok button to add the address.</p>
<p>Click Save button on the toolbar when you are done. Close the Bank window to go back to the Business Partner window. Now you can type the bank name on the Bank field or click the icon right to the field to search for the bank we’ve just added.</p>

<p>Then, you can select the bank Account Usage, the Bank Account Type and the Account Number.</p>
<p>Click Save button when you are done.</p>
<h2>Business Partner Location</h2>
<p>Next, you need to enter the Business Partner Location/ physical address. Click on the Location tab on the left to show the detailed Location data. Then click the New Record icon on the toolbar.</p>

<p>Click the box right to the Address field to enter the address street name, city, ZIP, and country. Click Ok to add the address.</p>
<p>Click Save icon on the toolbar where you are done.</p>
<h2>Business Partner Contact Person</h2>
<p>Next, you need to enter the Business Partner Contact Person data. Click on the Contact tab on the left to show the detailed Contact data. </p>

<p>There you can add the detailed Contact Person data for the Business Partner.</p>
<p>Click New Record to add more contact person, or click Save button when you are done.</p>
<p>Close the Business Partner window when you are done adding and editing your Business Partners.</p>
<h2>Other Workflow Functions</h2>
<p>That’s all you need to do for the basic setup of Business Partner data. If you need to refine the default setup for Business Partner data, you can check it up again on the Business Partner Setup Workflow, where you can do:</p>
<ol>
<li>Maintain Business Partner Group </li>
<li>Maintain Greetings data for the Business Partners </li>
<li>Maintain Payment Terms data </li>
<li>Maintain Invoice Schedule data </li>
<li>Maintain Withholding (1099) data </li>
<li>Maintain Dunning Levels data </li>
<li>Maintain Revenue Recognition data which is the interval at which revenue will be recognized </li>
<li>Import Business Partner data from external file (see the Utilities section later) </li>
</ol>

<p>As described in the previous section, you log in to the system using the newly created user ID for the new Client. After log in, you will see the ADempiere main menu for the Client like this:<span id="more-432"></span></p>

<p>To open the Initial Client Setup Review Workflow, browse the menu tree System Admin – Client Rules – Initial Client Setup Review (note the icon for the menu item which indicate that it is a workflow). Click on the menu item to open the workflow window like this:</p>

<p>On that window you can see a diagram which shows a workflow for reviewing the Client setup that have just been done. You may click on each “box” to open the corresponding item.</p>
<p>For example, to view and edit the Client detail information, click on the Client box, which will show up the Client information window, in which you can do some adjustment to the Client, like this:</p>

<p>Let’s look at the definition for each terms above:</p>
<ul>
<li><strong>Client</strong> is the highest level of an independent business entity. It’s like a tenant who rent your building (the ADempiere system). So, in one ADempiere implementation you could have one or more Client.</li>
<li>Each Client may have one or more <strong>Organizations</strong> reporting to it.</li>
<li>Each Client defines the accounting parameters (<strong>Acconting Schema, Tree Definition</strong>, Non Monetary Unit of Measure/ <strong>UOM</strong>, etc)</li>
<li>Each Client may have more than one <strong>Users</strong> account</li>
</ul>

<p>At the first time of the implementation, ADempiere provides you two default Clients, System Client and Garden Client.</p>
<p>System Client is used to create other Clients, and Garden Client is for evaluating purpose, which already contains some sample data of Business Partners, Products, Users, accounting parameters, etc.</p>
<h2>Starting the Implementation</h2>
<p>Start the ADempiere client program which will show up a dialog  box like this:</p>

<p>The dialog will show GardenAdmin User ID at the beginning. We must change it to <strong>System</strong> (note the case) and use the password <strong>System</strong> for it. Click Ok button. A dialog like this will show up:</p>

<p>Please note that the Role is <strong>System Administrator</strong> and the Client is <strong>System</strong>. Click Ok button. Next the ADempire main menu will show up like this.</p>

<p>On the menu, browse the tree menu to System Admin – Client Rules – Initial Client Setup to open the Initial Client Setup Form like this:</p>

<p>You must fill the fields with your datas. The fields that we need to fill are:</p>
<ul>
<li><em>Client</em>: is the name of your company name or other company that we are going to setup, for example Dijexi.</li>
<li><em>Organization</em>: is often a legal entity or sub-unit for which documents and transactions are processed. By example, we filled with Head Quarter (HQ), and you may define others organization in a later time. Often, in small companies the Client and the Organization are the same.</li>
<li><em>User/Contact Client</em> and <em>User/Contact Organization</em> are the initial users that will be enabled to login into the system, in this example: dijexiAdmin and dijexiUser.</li>
<li>Leave the <em>Business Partner</em> and the <em>Product</em> checkboxes checked and the others unchecked. Those selection will be used to define the Accounting Schema. Afterwards, if you want, you can change these settings, for example to add Sales Region, Projects, etc.</li>
</ul>
<p>Please, note the Ok button is still disabled. Before you can continue, you must select the <em>Load Accounting Values Format</em> button to load the sample chart of account data.</p>

<p>Select a comma separated file, for example we will use AccountingUS.csv which is a US sample of Chart of Accounts (COA).</p>
<p>You can define your own COA based on that sample and load that instead. The COA is required by ADempiere for its Financial Integration operations. After that, the Ok button will be enabled and now the path to the accounts file is displayed with your choosed. Press the Ok button to continue&#8230;</p>

<p>and wait for the process to finish, it will take several minutes depending on your computer specifications.</p>

<p>which show you the Users, Roles and all the standard entities that were created. Click the Ok button, your Client initialization setup is complete.</p>
<h2>Re-Check the Client Setup</h2>
<p>Next thing you should do is to check the Client setup that you have just done before. To do this, logout from the system now. Then log in again but this time with your client-level Role you have just created (<em>dijexiAdmin</em> in the example).</p>
<p>The initial password to your client-level Role is <strong>same</strong> as your client-level role name.</p>

<h2>Installing Java Development Kit (JDK)</h2>
<p>Installation on JDK should be simple, you just need to run the setup program. One thing that you should notice is that you must download the JDK (Java Development Kit), not just the JRE (Java Runtime Environment). Ademipere needs the JDK which consists of full package of Java libraries and development tools.</p>
<p>After installing JDK, you need to make sure of the Windows environment variables <strong>JAVA_HOME</strong> is correct. This can be done by using Windows command prompt (menu Start – Run – type cmd).</p>

<h2>Installing Oracle Database</h2>
<p>In this article we are going to use Oracle XE database server. First, you need to download the setup program. Search the keyword (oracle xe download) from google.com or go to Oracle web site: <a title="http://www.oracle.com/technology/software/products/database/xe/index.html" href="http://www.oracle.com/technology/software/products/database/xe/index.html">http://www.oracle.com/technology/software/products/database/xe/index.html</a>. You have the option to download either for Linux or Windows operating system. In this article we are going to use Windows.</p>
<p>Detailed instruction for installing Oracle XE can be found in this link.</p>
<h2>Setup Adempiere</h2>
<p>If you have not downloaded the latest version of Adempiere, you must <a href="http://sourceforge.net/project/showfiles.php?group_id=176962">do it now by clicking this link</a>. After downloading, extract the file to some temporary folder. The extracted folder will contain a folder called Adempiere. Move this folder to a root directory for simplicity, which is in this article C:\. So, you will have a new folder called C:\Adempiere.</p>
<p>Now, open command prompt and type <strong>cd c:\adempiere</strong> to go to that folder.</p>
<p>On the c:\adempiere folder, type the following command:</p>

<p>wait until a dialog similar like this appear:</p>

<p>That was the Adempiere server setup dialog. What you need to do on that dialog is to make adjustment to the default parameter values presented on the dialog. The most important parameters are:</p>
<ol>
<li>Java Home: set it to the Java SDK installation path you have done before, for example C:\Java </li>
<li>Adempiere Home: set it to the path of the Adempiere installation folder you have done before, for example C:\Adempiere </li>
<li>Application server: fill it with the computer name the Adempiere server running on </li>
<li>Web Port: type the available port number for the Adempiere web server, for example 8080 (in case Apache is already running on port 80 on your computer) </li>
<li>SSL: type the available port number for the SSL port of the application server, for example 8443 (in case Apache SSL is already running on port 443 on your computer) </li>
<li>Database Type: select Oracle XE </li>
<li>Database system password: fill it with the password of the Oracle’s SYSTEM user which is defined on the Oracle XE installation stage that you must have done before. </li>
</ol>
<p>You may leave other parameters as default.</p>
<p>After adjusting the parameter, click on the Test button. The program will check all of the parameters and show you indicators whether the values are correct or not. You must adjust them to the correct values depending your system configuration before setup process continue.</p>
<p>When everything is OK, you can now click Save button, which will begin the setup and deployment process.</p>
<p>First, a confirmation will show up:</p>

<p>Click OK. The setup and deployment process will take up several minutes depending on your system specification. You may check for messages appear on the command prompt window where the RUN_setup.bat was run before or just wait until messages like this appear:</p>

<h2>Create Adempiere Database</h2>
<p>Next you must create the Adempiere database.This is done by running the import command which will import the database structure and data to our Oracle XE database server.</p>
<p>Still in the command prompt window, type the following command:</p>
<blockquote><p>cd c:\adempiere\utils</p>
<p>RUN_importAdempiere.bat</p>
</blockquote>
<p>The process will create Adempiere database on our Oracle XE server, you just have to wait until it finishes.</p>
<h2>Complete Server Setup</h2>
<p>Next step is to run the Adempiere application server. Type the following command on the command prompt:</p>
<blockquote><p>cd c:\adempiere\utils</p>
<p>RUN_server2.bat</p>
</blockquote>
<p>Wait the process until the application server is up and running.</p>
<h2>Testing Adempiere Installation</h2>
<p>When everything is ok, you need to test the Adempiere installation. Type the following command on the command prompt:</p>
<blockquote><p>cd c:\adempiere</p>
<p>RUN_adempiere.bat</p>
</blockquote>
<p>If nothing was wrong, a dialog like this will show up:</p>

<p>Adempiere was deployed with a sample database which contains a built-in client setup called Garden. On each client, there are two built in users: <strong>GardenAdmin </strong>and <strong>GardenUser</strong>. For testing purpose we will use GardenAdmin user ID with which has a default password of GardenAdmin as well. Click on the Ok button to continue. A dialog like this will show up:</p>

<p>That dialog confirm you for your role, client, organization (department below a client), today’s date, and printer setup. Click ok when all item are confirmed. Next, Adempiere dashboard will show up like this.</p>

<p>That will show a snapshot of your business’ performance today recorded by Adempiere. Next, click on the Menu tab that will show Adempiere main menu like this.</p>

<p>Adempiere menu is arranged by a tree structure. Depending on the user ID, there will be menus which can be expanded to show it’s sub menu. You can browse for a particular menu for a specific function or job by expanding and collapsing the tree. You can also find the menu by searching it by typing the menu on the Lookup field located on the bottom right of the dialog window. Try for example type “purchase order” and press Enter to go to a menu which contains “puchase order”.</p>

<p>Note that Adempiere menu shows different icons for the items. The icon indicated the function of the menu which can be a form window, a report window, a process, or a workflow. For testing purpose, double click the Purchase Order menu to open Purchase Order window like this:</p>

<p>Ok, seems like your Adempiere installation is correct. Now close the PO window, and exit Adempiere if you wish.</p>
